In plain words: what we store, why, and who sees it. Version of September 25, 2026.

Who we are

Memory365 makes memorial pages and accounts for grave care companies and cemetery administrations. The website runs on memory365.app, and organization accounts on my.memory365.app.

What we store

  • Account: the email address where your sign-in code arrives. If you sign in through Telegram, also the phone number you shared with the bot and your Telegram name
  • Memorial page: what the family writes about the person: name, dates, photos, a voice recording, video links, texts, the burial place. Memorial candle: how many were lit and a fingerprint of the visitor's address, to count one candle a day; the address itself is not stored
  • Purchase: email and the plaque shipping address: recipient, country, city, address, postal code and phone
  • A message through the form: name, contact for the reply and the text
  • Organization accounts: what the organization enters itself: clients, graves, orders, burials, the register
  • Technical data: the sign-in cookie while you are signed in, and the server request log to protect against failures and attacks

There are no visitor counters, ads or third-party analytics on the website.

Who sees a memorial page

A page is open to anyone who knows its address or points a camera at the QR code on the headstone; no sign-in is needed for that. It is not in search engines unless the family turns that on.

The page owner and the co-authors they invited can write on the page. A visitor can only light a memorial candle on the page, and only the family can write on it.

Who we share data with

We do not sell data or share it for advertising. Part of the work is done by services the website cannot run without:

  • PayPal accepts payments. Card details are entered on its side and never reach us
  • File storage keeps photos and voice recordings
  • A mail server sends emails with sign-in codes and notifications
  • Telegram, if you sign in through the bot
  • Google Gemini works only in organization accounts: it recognizes photos of cemetery book pages and headstone inscriptions. The book photo is deleted after processing. Families' memorial pages are never sent to the AI

Beyond this, data is disclosed only when the law requires it.

How long we keep data and how to delete it

The owner deletes a memorial page in their account. It closes right away, and after 30 days the photos, videos, voice recording and texts are erased completely. Only the page address, name and years remain, so that the address from the headstone never goes to someone else's page.

The platform can also close a page that breaks the rules after a complaint.

You can find out what is stored about you, correct it, or delete your account and messages on request through the form or messenger on the Contacts page.

Organization data

Only a grave care company's own staff see its clients, graves, orders and money, and a staff member sees only their own orders. The burial register is kept by cemetery administrations and companies with Plus status, and companies working in the same town can read it.

The organization itself is responsible for the lawfulness of the information about its clients. Support can sign in to an account to help; the organization can turn off this access in its settings.

If an organization stops paying, its account is closed until payment, and the data is kept.

Changes

If the way we handle data changes, we will update this page and the version date at the top.
