Burial records software for cemeteries

A digital cemetery burial book from photos of its pages

A caretaker photographs a page, the AI sorts the records into fields, and a person checks them. The cemetery map, burials, money and documents are kept in the same account.

  • The book photo is deleted after processing
  • Caretakers work from their phones
  • Data is kept if payment stops

We open an administration account after checking an official letter.

AI

Digitizing burial books: the AI reads, the caretaker decides

Full name, dates, block, row and plot go into their own fields. Everything else in the line, such as a certificate number, age or a note, is kept as a note. Checking is easy on a phone: the line is highlighted right on the photo.

  • A page shot sideways or upside down is straightened automatically
  • It understands ditto marks, “the same”, Roman numeral months and old spellings
  • It does not guess: anything doubtful is marked as uncertain
  • It recognizes what is already entered and only adds to it, never twice
  • The book photo is deleted after processing

Inventory during a field round: photograph the headstone, and the record is in the register

A caretaker walks along the rows with a phone. The AI reads the inscription, the spot is pinned by GPS, and the record goes straight into the cemetery register.

  • A double headstone gives two records
  • The shutter waits for an accurate GPS fix and opens by itself after 20 seconds
  • Up to four photos per grave
  • If a similar record already exists, the system warns you, and no duplicate is created

Lays itself out

A digital cemetery map: plots lay themselves out

The outline of the field is drawn over a satellite image, and sections with a single line. Plots lay out in a grid by themselves: by the standards, with paths and numbered rows and plots. Sections are numbered across the ground in a snake pattern.

  • Free, reserved and taken plots are marked in color on the map
  • Lifetime reservations, owners, transfers, the history of each plot
  • A charge is created automatically on reservation and burial, at the section's price
  • Columbarium: niches and tiers in the same grid

Burial by application, step by step, without a paper log

Application, permit, day and time, a work order for the caretaker and the Buried mark. Each step is kept in the account, and the next one is suggested.

  • An approved application holds the plot, so it cannot be sold twice
  • The digging work order reaches the caretaker's phone
  • Buried adds the record to the register and marks the plot as taken
  • If an application is canceled, work orders and documents are withdrawn automatically
  • Today's and tomorrow's funerals are on the Home screen by the hour

Invoices, installments, debts and documents

  • Invoice with payment by link

The family pays by card from any country, and the payment is applied to the invoice line by line automatically.

  • Installment plans

A schedule of up to 60 payments is built automatically, and overdue payments are visible without any counting.

  • Debts

Everyone who owes is visible in one list. A reminder with a ready message goes to a messenger in one tap.

  • Documents from templates

Certificates, receipts, permits, official records. The number and plot details are filled in automatically.

  • Automatic voiding

If a reservation or an invoice is canceled, the issued document is voided, and its number stays in the log.

  • Inventory

A plot list for Excel and a commission report are ready in a minute, by field and by section.

The register keeps itself in order

  • Duplicates are found automatically

By how the last name sounds, including typos and Latin spelling. A person decides: merge them or mark them as different people.

  • Change log

You can see who changed what in a record and when. A dispute about who corrected a last name is settled by the log.

  • What the register is missing

The Home screen shows records without photos, coordinates or a cemetery. One tap, and the list is in front of you.

  • Administration website

Relatives find the grave themselves: search by last name, Directions, an online application.

  • Caretakers

Sign-in with a PIN, assigned cemeteries, work orders and a map with a “you are here” GPS pin.

  • Deadlines under control

The waiting period for an additional burial in the same grave is checked automatically. An abandoned grave case follows its deadlines, with a ready report template.

We will help you get started

We will move your existing register, check it for duplicates and teach your caretakers to work from their phones.

  • Processing handwritten burial books

    $99 per 250 pages

Pages beyond the monthly limit, for large archives. A caretaker photographs a spread, the AI reads the records, and the caretaker checks and enters them. 250 pages is about eight thousand records: roughly a cent per record, while manual digitizing by contractors costs about a dollar.

  • Moving your existing records

    $149 one-time

Spreadsheets, exports from old systems, folders of photos. We look at what you have and move it all, together with the history and photos.

  • Register check and cleanup

    By agreement

Merging duplicates, checking years and sections, assigning cemeteries to records without a place. We do it together with you: the cemetery administration always has the final word.

  • We build your website for you

    $199 per website

We put together the pages of your site on memory365.app: home, services, contacts. The texts come from what you tell us, the photos are yours, and after that you edit it yourself in the editor.

  • Training and support for the first month

    $99 per month

Walking through your work over a video call, answering your staff's and caretakers' questions, helping with the first orders and field rounds.

How to start

  1. Sign up

Your administration's details and an official letter as a PDF.

  2. Verification

We check the letter and open the account: a cemetery register takes years to build, so we do not give access to just anyone.

  3. Books and map

Caretakers photograph the books page by page, and you lay out the map on a computer.

  4. Field round

Caretakers walk the rows with a phone, and the register fills up by itself.

Questions from administrations

Which AI reads the books?

Google Gemini. If the model is busy or unavailable, the page goes to a backup automatically. The AI makes nothing up: it marks anything doubtful, and the caretaker decides.

Do you keep the photos of the books?

No. A page photo is deleted right after it is entered, and an abandoned one after 30 days. Only the records stay in the register.

How many pages can be processed?

How many your plan includes is shown on its card, and the balance for the month is visible on the photo screen. For a large archive, extra pages can be bought separately.

Who sees our cemetery's register?

Your staff and caretakers. Any grave care company working in your town can read the register. Besides you, only an Agency Plus company can edit records; the platform grants that status. Visitors see the search only on your website, if you turn it on, and without coordinates.

Does everything work from a phone?

For caretakers, yes: books, field rounds, work orders, the map with GPS. The cemetery map is laid out on a computer.

What happens to the data if we stop paying?

The account is closed until payment, and the data is kept.
